What's New for JBO 3.4

Archive: JBO Changes by Release

The scope of changes encompasses the areas of review process, reporting and other changes relevant to better connecting the editorial process with the journal production process.

Review Process

  • Fixed Reviewer search so AE-as-author cannot view his/her ms record or reviews.
  • Provided option to import author's cover letter into a textbox, so that it may be edited and distributed to reviewers with the ms.
  • Added Reviewer Search capability to each ms list page (s.v. "Other" for editors as they have no reviewer button)
  • Fixed problem related to removal of revision from "New Submissions" file after record is created.
  • Prevented revised ms’s title from being overwritten by previous version's title when added to the system.
  • Fixed display of Working Files(s) so that mss are sorted first by status and second by last-action date
  • Modified display of Letter Type section on Compose Action Letter screen to include lines identifying which type of thank you letter will be sent and to which status the ms is to be moved.
  • Set miscellaneous correspondence menu option to open in new window.
  • Provided access to “Notes” function for ms info record to AE and ME offices, in addition MC office.
  • Resolved issues related to display and updating of “Notes” field for author and reviewer records.
  • Flag mss for which it may be necessary to identify additional potential reviewers (i.e. # of non-responses + # of agreed less than 2) by moving to AE’s working file and presenting ms number in red.
  • Added link on MS screen for each individual reviewer's URL for submitting reviews allowing JBO staff to access/resend.
  • Added link to view response URL’s
  • Added screen to view system-added information for Reviewer requests.
  • Fixed ms number auto-increment issues for new manuscripts

Reporting

  • Modified Contributing Reviewer report to include cumulative statistics and expandable links to view specific statistics.
  • Performance tuned all year-end reports.
  • Fixed auto-renumbering issue for reviewers when "Set as Declined" function is used on Overdue/Pending Report

Other Changes

  • The Manuscript Transmittal Form is a new feature in the Manuscript Coordinators' JBO manuscript menu.

This form is an electronic replica of the print document that has been used, and with this new function, you will no longer have to send a print Transmittal form to the APA Journals Office! Instead, you fill out the form online in JBO, submit, and the data is automatically transferred to APA's electronic Journal Office, called the Production Back Office (aka PBO).

Procedurally, the manuscript MUST be at JBO status "Accepted, Forms Received, Pending Publication" before you will be able to send the data electronically to PBO. Any manuscript with a JBO status before this will result in you either not being taken to the Transmittal Form at all (with an explanatory note that the record is not "ready" for PBO), or you will be prompted to change the status before any data can be saved to PBO.

Only send the Transmittal Form for manuscripts which have ALL ancillary documents (forms, signatures, etc) received by your office. PBO will not have access your JBO correspondence or reviewer information, but will, once receiving the Manuscript Transmittal, have access to all record content for that manuscript (author data, title, abstract, etc). For this reason, do not send a Transmittal Form until your office is prepared to suspend ALL work on the manuscript and hand the data to PBO for technical editing.

To access the Manuscript Transmittal Form, open the Main Manuscript screen for the manuscript. The form is located in the menu options: OTHER -- Manuscript Transmittal Form.
